This Data Deletion Policy explains how you can request the deletion of your personal information and user content from Jot AI, and how we handle data deletion requests.

1. Your Data Deletion Rights

You have the right to request the deletion of your personal information and user-generated content from our systems. This includes:

Your account information (name, email address, profile data)
Audio recordings you've created
Transcriptions and summaries generated from your recordings
Other content you've created while using Jot AI

2. How to Request Data Deletion

You can request data deletion in several ways:

2.1 Delete Individual Recordings

To delete individual recordings and their associated data:

Open the Jot AI app
Navigate to the recording you want to delete
Tap the "More" (three dots) menu
Select "Delete Recording"
Confirm the deletion

2.2 Delete Your Entire Account

To delete your entire account and all associated data:

Open the Jot AI app
Go to Settings
Scroll down to "Account Management"
Tap "Delete Account"
Follow the confirmation steps to permanently delete your account

2.3 Contact Us for Deletion Assistance

If you're having trouble deleting your data using the above methods, you can request deletion by contacting our support team at:

When contacting us, please include your account email address and specify what data you would like to have deleted.

3. What Happens When You Delete Data

3.1 Deletion of Individual Recordings

When you delete an individual recording:

The audio file is removed from our servers
The transcription and summary derived from the recording are deleted
Any other content directly associated with the recording is deleted

3.2 Account Deletion

When you delete your account:

All your personal information is deleted from our systems
All your recordings, transcriptions, and summaries are permanently deleted
Your user profile and preferences are removed
Your subscription (if any) is canceled

4. Data Retention After Deletion

4.1 Standard Deletion Timeline

When you request deletion of your data, we will delete your information from our active systems within 30 days. However, it may take up to 90 days to remove your data from our backup systems.

4.2 Exceptions to Immediate Deletion

In some cases, we may retain certain information for a limited period, even after you request deletion:

Legal Requirements: We may retain information if required by law, regulation, or legal process.
Fraud Prevention: We may retain some account information to prevent fraud or future abuse.
Analytics: Aggregated, anonymized data that does not identify you may be retained for analytics purposes.
Technical Limitations: Residual copies may remain in our backup systems for a limited time until those backups are cycled.

Note: When we retain data for these purposes, we will ensure that the data is not used for any other purpose and is secured using appropriate technical and organizational measures.

5. Third-Party Services

Jot AI uses third-party services to provide its functionality. When you request deletion of your data, we will also direct these third parties to delete your information from their systems. These services include:

Firebase (Authentication and Storage)
Google Cloud
OpenAI (for transcription and summarization)

Each of these services has its own data deletion and retention policies. While we make every effort to ensure your data is deleted from their systems, the specific timing may vary according to their policies.

6. Changes to This Policy

We may update this Data Deletion Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last Updated" date. You are advised to review this policy periodically for any changes.
